Understanding Knowledge Topics

Overview

As your organization answers more questionnaires, your knowledge base can quickly fill up with duplicate or slightly different answers to the same questions. Over time, it becomes difficult to know which version is current or correct.

Knowledge Topics solve this by automatically grouping similar questions and answers into organized “topics.” Each topic represents a unique concept (like Encryption at Rest or Access Control), so your knowledge base stays clean, consistent, and easy to manage.


How It Works

Instead of storing every question and answer separately, Knowledge Topics cluster semantically similar Q&A pairs together.

Each topic includes:

  • A main question that represents what the cluster is about

  • One or more answers, organized by context or product segment

  • A record of all duplicate questions that share the same meaning

If a new questionnaire introduces an answer that’s already covered, it will automatically link to the right topic — keeping your KB focused and up to date.


Getting Started

When Knowledge Topics are first enabled for your organization:

  • We’ll run your existing, non-expired knowledge base through our clustering process to generate your initial set of topics.

You can also select a reference questionnaire during setup.

  • This questionnaire will be used to pre-seed your topics.

  • Answers from that questionnaire will automatically be promoted into topics.

  • Any semantically similar Q&A pairs from your KB will be marked as duplicates and linked to the correct topic.

This gives you a strong, accurate foundation right from the start.


Keeping Knowledge Clean

Whenever new Q&A pairs are added:

  • The system automatically checks if they fit an existing topic.

  • If they do, they’re added as duplicates.

  • If they don’t, a new topic is created.

  • If two answers conflict, they’re flagged for review so you can decide which to keep.

This ensures your KB grows intelligently — around unique ideas, not repeated answers.
