Using Audiences for Granular Access Control
Managing document access just got much simpler. Audiences allows you to segment your customers and automate exactly what they see—and what they can do—the moment they enter your Trust Center.
🔄 What has changed?
Previously, Trust Center access was managed at the individual level: files were either Public, Approved for All, or required a Manual Request for every single user.
Audiences replaces this manual bottleneck. Instead of approving users one-by-one, you group them by profile (e.g., "Partners" or "Enterprise") and set permissions for the entire group at once.
What are Audiences?
Think of an Audience as a smart tag. Instead of managing permissions person-by-person, you group customers based on their relationship with you.
Multi-Tenancy: A customer can belong to multiple audiences at once.
Capabilities vs. Visibility: Traditional folders only hide or show files. Audiences control actions—like whether a user can download a file or if they see a watermark.
Use Cases & Examples
Feature | What it does |
Visibility | Show specific files only to certain groups (e.g., FedRAMP reports). |
Download Rights | Allow "Internal" users to download, while "Prospects" are View-Only. |
Watermarking | Automatically remove watermarks for your own team, but keep them on for everyone else. |
Pro Tip: Create an Internal Audience for your own company domain. This gives your team instant, watermark-free access to all documents for faster sales cycles.
Audiences vs. Folders
While folders organize your files, Audiences understand the relationship between the user and the file.
Folders: A static bucket for files.
Audiences: The "permission engine." Two users can look at the same "Security" folder, but a Premier Customer might see 10 files with download rights, while a General Prospect sees only 3 files in "View Only" mode.
How to Setup Audiences (3 Steps)
1. Create the Audience
Navigate to Customers, select the Audiences tab, and click Add Audience. Give it a clear name (e.g., "Strategic Partners").
2. Assign Customers
Add individual customer accounts or entire email domains to your new Audience.
3. Set Permissions
Go to Trust Center > Manage Access > File Access Manager. You will now see individual tabs for each audience you’ve created. Switch between tabs to toggle View, Download, and Watermarking settings for that specific group.
